DESCRIPTION

The Admissions Associate is responsible for various aspects of the admissions process and plays a
crucial role in both the recruitment of new families to GISNY as well as the retention of currently
enrolled families. The Admissions Officer reports to the Head of Administration and regularly
communicates with and updates the Head of the Upper School, Vice Principals, Head of the Lower
School, Head of Marketing, and select members of the Board of Trustees. The position is available
part time.

RESPONSIBILITIES

  • Serve as the primary point of contact for prospective families throughout the application
    process, oversee admission and enrollment process implemented with Blackbaud
    Onboard Software, documentation
  • Develop and implement a comprehensive retention strategy in coordination with the
    Head of Marketing and Communication to establish a more robust student base overall
    and specifically in the Middle and Upper Schools
  • Schedule and provide school tours, schedule interviews with the Head of School, and
    market GISNY
  • Monitor all registrations and follow up, respond to initial inquiries and follow up
    questions, interview prospective families, create initial student record, follow up on
    incomplete applications, issue acceptance letters, communicate with parents as needed,
    and keep each registration’s notes section updated
  • Determine, monitor and improve all admission processes as a sales funnel, run reports
    and analyze student statistics, draw conclusions and deliver reporting on a regular basis.
    Continuously build up a database.
  • Plan, execute and attend all admission events or open houses in collaboration with Head
    of Marketing, administration, and faculty. Set up registration forms, track registrants,
    prepare materials and presentation, catering for admissions events, plus event build-up
    and break-down, follow up with participants
  • Maintain the bilingual admission section of the school website to ensure the accuracy of
    all information, including creating new online registration forms each school year
  • Implement and organize educator tours
  • Work closely with and support any families who choose to leave the school, including
    maintaining contact with them after they go. Conduct and analyze exit interviews to
    identify patterns/trends and communicate these to relevant constituents. Align
    admissions strategy with marketing strategy, make adjustments to strategy, keep all exit
    statistics, have re-enrollment process in place
  • Participate in school fairs (e.g. Bilingual Fair, Expat Fair) in collaboration with Head of
    Marketing

REQUIRED EXPERIENCE AND QUALIFICATIONS

  • Fluency in German and English, spoken and written preferred
  • B.S. or B.A. (M.S. or M.A. preferred)
  • A proven track record of progressive professional experience in admission at private,
    international, and/ or bilingual schools, school administration, or business development
    in a membership-based organization,
  • Strong understanding of the sales process
  • Experience with “Blackbaud Onboard” Application
  • Interest in education and a genuine affinity for children and families in a globally
    connected world. Ability to establish personable yet professional rapport with them in a
    school environment
  • Outstanding communication skills and ability to listen
  • Familiarity with and commitment to bilingual education
  • Strong familiarity with both American and German School systems
  • Excellent organizational skills with the ability to prioritize
  • Professional conduct and flexibility
  • Ability to take the initiative and work independently
  • Ability to work collegially and effectively with the team to achieve school’s goals
  • Strong database and spreadsheet skills
  • Ability to help school establish a strong presence in today’s competitive environment
    and to attract an outstanding student body
  • US employment authorization
